5 Steps for Project Manager to increase productivity

List of Strategies for Project Manager for Enhance Productivity

1.   Plan your own work.

Project managers are good at planning the work of project team members, but often neglect to plan their own work, which is dangerous; Some project managers even think that they can control and control their own time, and there is no need for planning at all, which is extremely wrong.

The project manager's own time is precious, and if not planned and utilized, it can have a significant, sometimes fatal, impact on project performance. Project managers, especially project managers of large-scale projects, are entangled in trivial matters such as project managers, work coordination, and exchange of ideas every day, and if they are not good at planning their time, they will be busy every day, but all kinds of affairs are still cut and messy.

The famous Pareto time can produce a clear difference in weight. There is a guiding rule: an effective way for project managers to use their time effectively and maximize the value of their work is to identify the six most important and urgent things of the day before each day and complete them according to their priorities. The reasons for highlighting six things here are: if there are too few things planned, it is difficult to complete the more important work; If there are too many things planned, the work is likely to lose focus.

Of course, the above rules are not golden rules, project managers can plan what they need to complete that day (such as five or seven things, etc.) according to the actual situation, but must ensure that the key work to be completed must be completed, and at the same time avoid the phenomenon of picking up sesame seeds and losing watermelons.

2.    Know how to give up.

There is no endless amount of time, only endless things to do.

Some project managers, they think that they can only rest assured if everything is done well, the actual situation is often that things cannot be done, and sometimes even some of the most important things are not done, which delays the work of the project and has a greater impact on the project.

Project managers must learn to have a keen ability to analyze things. The project manager should be able to clearly determine what is important and what is not; What is worth the time to do and what is not worth the time to do. From what I talked about earlier, I can boldly give up some of it. If we can really do some of the six most important things that affect project performance (i.e., about the total number of things), we can simply give up when we don't have time.

Project managers learn to give up, which is a valuable skill. We must not spend most of our energy on things that have little or no impact on the project, which will not only be exhausted by trivial matters, but also end up working without purpose.

3.   Be good at authorization.

Some project managers are really conscientious, and you have to be hands-on to get rid of everything. In practice, this practice is undesirable.

Project managers need to be role models and role models for project team members, but that doesn't mean project managers need to take care of everything.

Project managers should not suffer from gains and losses, and if this is the case, it is bound to be the same priority, and the result can only be wasted effort but useless. A person's energy is limited, the project manager should be good at delegation, the project manager can completely delegate the six things to other members of the project team to complete, so that the project manager can concentrate on what he should handle.

It should be pointed out that the project manager needs to be authorized, but do not give others what only the project manager can do, the project manager can only delegate some work that can be done by others. Project managers should not delegate work that cannot be replaced by others, which will not lead to good results.

In addition, the project manager also needs to pay attention to the fact that authorization does not equal responsibility, the project manager should not mistakenly think that the work authorization can go out to be fine, the project manager needs to follow up the authorized work in time, if there is really a problem, the project manager needs to take the initiative to take responsibility.

4.   Concentrate on doing great things.

For important work, a few hours of full attention is far more effective than leaving an entire block of undisturbed time for important work each day, which is Drucker's important advice for knowledge workers' time management.

As a project manager, don't delay important work because of trivial matters. Project managers need to know how to give up and decide to take time out and focus on big things.

5.   It is necessary to use the brain with the heart.

When reading, teachers often teach us to read with our hearts; After joining the work, our bosses often teach us to work hard. At first glance, this view is indeed true.

In fact, due to the various uncertainties of the project, it is not enough to work hard as a project manager. Working hard can only show that the project manager has a good attitude and dedication, and the best result of the work can only be to do what has been done well. So, it's not surprising that sometimes we see project managers who are busy all day but have little performance.

Project managers must also work with their brains when working with their hearts. Using brain work means thinking more and thinking more ways, using brain work can not only make the best way to do the things that should be done, but also allow valuable time to be spent on the blade, and the result is undoubtedly to grasp the essence of the problem and make the work twice as effective.

Only when project managers work hard and work with their brains can such project managers be called excellent project managers and achieve real success.
